Where: Microsoft SharePoint Conference 2009
(Surf 2 Conference Room)
Mandalay Bay Convention Center
Las Vegas, NV

Members of the media are invited to attend the Microsoft SharePoint Conference 2009 breakout session titled, “Records and Storage Management with SharePoint 2010” to learn about the differences between a records archive and SharePoint 2010 in-place records and the benefits of archiving and eDiscovery leveraging unified data capture.

“Prior to Microsoft SharePoint Server 2010, records were managed by creating a Records Center site to serve as an archive, then copying documents to the archive when they became records,” said Tuip. “Whether a document was a record or not was determined by whether it lived in the records archive or elsewhere. With SharePoint Server 2010, you will now be able to manage records in an archive, or you can manage records in the same document repository as active documents.”

During the session, Tuip will discuss the Microsoft SharePoint Server 2010 in-place approach. With this approach when a document has been declared as a record, the record remains in place, but Microsoft SharePoint Server 2010 now manages it as a record. This process will be compared with a SharePoint records archive and its ability to support eDiscovery processes through unified data capture.

Martin Tuip has more than a decade of IT experience. He started out his IT career in system administration, but has focused mostly on archiving and compliance products. He is the webmaster of a few resource sites for Exchange and SharePoint and as well is the owner of some of the world's largest user communities for these products and writes on one of the few archiving software dedicated blogs at www.archiving101.com. Martin is a published author, a nine-time Microsoft MVP for Exchange Server. He currently works as the Senior Technical Product Marketing Manager for Mimosa Systems.

MIMOSA NEARPOINT FOR SHAREPOINT NAMED BY INFOWORLD AS A KEY ARCHIVING SOLUTION FOR RECOVERY, LONG-TERM RETENTION, AND EDISCOVERY

Mimosa NearPoint for SharePoint Next-Generation Archiving Solution Delivers Continuous Data Capture, Rapid Recovery and Significant Storage Cost Savings for Microsoft SharePoint Content

SANTA CLARA, Calif. – Mimosa Systems, the leader in next-generation email, file, and SharePoint archiving solutions, today announced that InfoWorld has identified Mimosa NearPointTM as a key recovery and archiving solution for companies that need long-term data protection, retention management and eDiscovery for Microsoft Office SharePoint Server.

In his October 7, 2009 article, “Don't be caught without a SharePoint recovery solution,” Peter Bruzzese comments, “Like Public Folders for Exchange, SharePoint has become a dumping ground for all sorts of content. And it must be protected… SharePoint has a built-in backup utility, but it has limitations, especially around recovery.”

His article continues to explore options between Microsoft's built-in utilities for SharePoint and System Center Data Protection Manager (SC DPM). He states that if a company’s SharePoint backup and recovery needs go beyond what the built-in tools provide including STSAdm, Web-based Central Administration backup and restore, SharePoint Designer, or SC DPM then third-party tools need to be considered.

“One tool I've had a chance to work with is Mimosa NearPoint, which provides continuous data capture, immediate recovery of items and sites (without the need for a recovery farm), eDiscovery and retention management, and single-instance storage,” added Bruzzese.

Mimosa NearPoint provides a holistic solution to manage and protect SharePoint Server data with integrated recovery and archiving capabilities, while maintaining easy end-user access to information, or advanced eDiscovery workflow to manage legal holds. In addition, Mimosa NearPoint offers the most comprehensive SharePoint Server data capture available.

Customers can capture all content types and associated metadata and attachments, perform continuous capture via Change Notification, and preserve the relationships between sites and content. NearPoint also provides full-text indexing and global single-instance storage on all archived content. This content can then be optionally offloaded from SharePoint Server to enable storage cost savings while maintaining seamless end-user access via stubbing. Mimosa NearPoint also manages the retention and disposition of SharePoint Server content across the archive in accordance with records management policies.

“As identified by Peter Bruzzese in his InfoWorld article, SharePoint data is growing at an incredible pace and it’s critical for organizations to build a solid data protection and archiving strategy for this increasingly vital platform for corporate records,” said T.M. Ravi, CEO, Mimosa Systems. “Mimosa has built NearPoint to be a unified archiving solution for the comprehensive protection, retention, eDiscovery and storage management of Exchange, files and now, SharePoint. As a result, companies can simplify their data retention strategies while assuring compliance and litigation readiness for their growing volumes of SharePoint data.”

Orange County Sheriff-Coroner Department Automates Email Retention and eDiscovery Processes with Mimosa Systems' Unified Archiving Solution

Multi-Faceted Law Enforcement Agency Reduces Discovery Time by 70 Percent with Mimosa NearPoint without Impacting Exchange Server Performance

SANTA CLARA, Calif. – Mimosa Systems, the leader in next-generation email, file, and SharePoint archiving solutions, today announced that the Orange County Sheriff-Coroner Department has automated its email archiving and eDiscovery request processes with Mimosa NearPointTM, which addresses critical customer requirements around archiving, eDiscovery, regulatory compliance, business continuity, and storage optimization in a unified solution. As a result, the large, multi-department California law enforcement agency has reduced the time it takes for staff to respond to eDiscovery requests by 70 percent, improving operations and lowering cost.

The Orange County Sheriff-Coroner Department is a multi-faceted law enforcement agency composed of approximately 4,000 staff members and over 800 reserve personnel. The Department consists of five organizational functions divided into 20 divisions. The core services provided by the Department are public protection, jail operations, technical services, administrative, and support services. In addition to patrolling the unincorporated areas of Orange County, 12 cities in Orange County contract with the Department to serve as those cities' police departments. The Department also provides security services for many agencies in Orange County including Orange County, the Orange County Superior Court, John Wayne Airport, Orange County Transportation Authority, Social Services Agency, and Health Care Agency.

As a very active sheriff’s department for one of the most populous counties in California, the Orange County Sheriff-Coroner Department must process numerous requests for information in support of internal affairs, court cases, and public and internal investigations. Because much of the department’s communications are performed via email, these eDiscovery requests were putting an increasing strain on the IT administrators that support the department’s Exchange email environment. Because they didn’t have an email archiving solution in place, the Sheriff’s Department was performing all of its’ email discovery manually and a typical request could take as much as 100 man hours to complete as researchers would comb through emails, line by line searching for specific words, phrases, or content to meet the discovery request. In an effort to streamline productivity, the Orange County Department began to evaluate email archiving solutions that would solve the eDiscovery needs of its Exchange mailbox environment.

“We were using an Outlook search tool that could find emails based on a phrase or word, but looking through our server data as well as searching through each employee’s local PST file, custodian by custodian, was taking an exorbitant amount of time,” said Doug Blackburn, systems programmer analyst, Orange County Sheriff-Coroner Department. “After finding and implementing the comprehensive email archiving solution from Mimosa, now the eDiscovery search process is reduced substantially. The system looks through multiple accounts at the same time and flags items of interest – all with less manpower.”

As a result of its new email archiving solution, the Orange County Sheriff-Coroner Department reduced its eDiscovery response time by 70 percent. Also important, was the ability for Mimosa NearPoint to meet its eDiscovery needs without adding any impact to the performance of its Exchange server. Because NearPoint doesn’t put any load on the Exchange server its overall email environment is much healthier.

Key Mimosa NearPoint features of value to the Orange County Sheriff-Coroner Department include:

  • Next-generation architecture: Mimosa NearPoint's unique architecture does not require journaling or any agents on either the Exchange Server or user desktops. This ensures that there is no impact on the Sheriff Department’s production Exchange Server’s performance.
  • Efficient eDiscovery: Mimosa NearPoint has several features that expedite the eDiscovery process by leveraging complete content capture. These features include individual item-level legal holds, conversation and proximity analysis, and an intuitive search within a search—while demonstrating chain of custody as archived content moves through the eDiscovery workflow.
  • Continuous capture and smart extraction of exchange data: When an eDiscovery or disclosure request is made, Mimosa NearPoint quickly identifies relevant content, including all metadata, emails, folders, deletions, calendars, contacts, notes, and tasks.

“With the volume of discovery requests that are often part of every day operations for law enforcement agencies such as the Orange County Sheriff-Coroner Department, Mimosa NearPoint delivers the automation, reliability and ease of operation that can make IT teams exponentially more productive,” said T.M. Ravi, CEO, Mimosa Systems. “Mimosa NearPoint delivers a unified solution for email retention, protection, search and recovery that has today become a necessary component for public agencies and corporations alike.”
