MIMOSA SYSTEMS TO PRESENT SESSION ON RECORDS AND STORAGE MANAGEMENT AT MICROSOFT SHAREPOINT CONFERENCE 2009
Attention: Technology writers and editors
What: Mimosa Systems expert and Microsoft MVP to present a session titled, “Records and Storage Management with SharePoint 2010”
Who: Presented by Martin Tuip, Senior Technical Product Marketing Manager, Mimosa Systems, author of www.archiving101.com, and nine-time Microsoft MVP for Exchange Server
When: October 21, 2009 at 9:00 – 10:15 a.m.
Where: Microsoft SharePoint Conference 2009
(Surf 2 Conference Room)
Mandalay Bay Convention Center
Las Vegas, NV
Members of the media are invited to attend the Microsoft SharePoint Conference 2009 breakout session titled, “Records and Storage Management with SharePoint 2010” to learn about the differences between a records archive and SharePoint 2010 in-place records and the benefits of archiving and eDiscovery leveraging unified data capture.
“Prior to Microsoft SharePoint Server 2010, records were managed by creating a Records Center site to serve as an archive, then copying documents to the archive when they became records,” said Tuip. “Whether a document was a record or not was determined by whether it lived in the records archive or elsewhere. With SharePoint Server 2010, you will now be able to manage records in an archive, or you can manage records in the same document repository as active documents.”
During the session, Tuip will discuss the Microsoft SharePoint Server 2010 in-place approach. With this approach when a document has been declared as a record, the record remains in place, but Microsoft SharePoint Server 2010 now manages it as a record. This process will be compared with a SharePoint records archive and its ability to support eDiscovery processes through unified data capture.
Martin Tuip has more than a decade of IT experience. He started out his IT career in system administration, but has focused mostly on archiving and compliance products. He is the webmaster of a few resource sites for Exchange and SharePoint and as well is the owner of some of the world's largest user communities for these products and writes on one of the few archiving software dedicated blogs at www.archiving101.com. Martin is a published author, a nine-time Microsoft MVP for Exchange Server. He currently works as the Senior Technical Product Marketing Manager for Mimosa Systems.
Editorial Opportunities
Company executives and leading email archiving experts are also available during the conference to discuss technology and trends in SharePoint archiving, eDiscovery, regulatory compliance, business continuity, and storage optimization.
Mimosa will be demonstrating the Mimosa NearPoint for SharePoint archiving solution at the Microsoft SharePoint Conference 2009, booth No. 607.

MIMOSA NEARPOINT FOR SHAREPOINT NAMED BY INFOWORLD AS A KEY ARCHIVING SOLUTION FOR RECOVERY, LONG-TERM RETENTION, AND EDISCOVERY
SANTA CLARA, Calif. – Mimosa Systems, the leader in next-generation email, file, and SharePoint archiving solutions, today announced that InfoWorld has identified Mimosa NearPointTM as a key recovery and archiving solution for companies that need long-term data protection, retention management and eDiscovery for Microsoft Office SharePoint Server.
In his October 7, 2009 article, “Don't be caught without a SharePoint recovery solution,” Peter Bruzzese comments, “Like Public Folders for Exchange, SharePoint has become a dumping ground for all sorts of content. And it must be protected… SharePoint has a built-in backup utility, but it has limitations, especially around recovery.”
His article continues to explore options between Microsoft's built-in utilities for SharePoint and System Center Data Protection Manager (SC DPM). He states that if a company’s SharePoint backup and recovery needs go beyond what the built-in tools provide including STSAdm, Web-based Central Administration backup and restore, SharePoint Designer, or SC DPM then third-party tools need to be considered.
“One tool I've had a chance to work with is Mimosa NearPoint, which provides continuous data capture, immediate recovery of items and sites (without the need for a recovery farm), eDiscovery and retention management, and single-instance storage,” added Bruzzese.
Mimosa NearPoint provides a holistic solution to manage and protect SharePoint Server data with integrated recovery and archiving capabilities, while maintaining easy end-user access to information, or advanced eDiscovery workflow to manage legal holds. In addition, Mimosa NearPoint offers the most comprehensive SharePoint Server data capture available.
Customers can capture all content types and associated metadata and attachments, perform continuous capture via Change Notification, and preserve the relationships between sites and content. NearPoint also provides full-text indexing and global single-instance storage on all archived content. This content can then be optionally offloaded from SharePoint Server to enable storage cost savings while maintaining seamless end-user access via stubbing. Mimosa NearPoint also manages the retention and disposition of SharePoint Server content across the archive in accordance with records management policies.
“As identified by Peter Bruzzese in his InfoWorld article, SharePoint data is growing at an incredible pace and it’s critical for organizations to build a solid data protection and archiving strategy for this increasingly vital platform for corporate records,” said T.M. Ravi, CEO, Mimosa Systems. “Mimosa has built NearPoint to be a unified archiving solution for the comprehensive protection, retention, eDiscovery and storage management of Exchange, files and now, SharePoint. As a result, companies can simplify their data retention strategies while assuring compliance and litigation readiness for their growing volumes of SharePoint data.”

Orange County Sheriff-Coroner Department Automates Email Retention and eDiscovery Processes with Mimosa Systems' Unified Archiving Solution
SANTA CLARA, Calif. – Mimosa Systems, the leader in next-generation email, file, and SharePoint archiving solutions, today announced that the Orange County Sheriff-Coroner Department has automated its email archiving and eDiscovery request processes with Mimosa NearPointTM, which addresses critical customer requirements around archiving, eDiscovery, regulatory compliance, business continuity, and storage optimization in a unified solution. As a result, the large, multi-department California law enforcement agency has reduced the time it takes for staff to respond to eDiscovery requests by 70 percent, improving operations and lowering cost.
The Orange County Sheriff-Coroner Department is a multi-faceted law enforcement agency composed of approximately 4,000 staff members and over 800 reserve personnel. The Department consists of five organizational functions divided into 20 divisions. The core services provided by the Department are public protection, jail operations, technical services, administrative, and support services. In addition to patrolling the unincorporated areas of Orange County, 12 cities in Orange County contract with the Department to serve as those cities' police departments. The Department also provides security services for many agencies in Orange County including Orange County, the Orange County Superior Court, John Wayne Airport, Orange County Transportation Authority, Social Services Agency, and Health Care Agency.
As a very active sheriff’s department for one of the most populous counties in California, the Orange County Sheriff-Coroner Department must process numerous requests for information in support of internal affairs, court cases, and public and internal investigations. Because much of the department’s communications are performed via email, these eDiscovery requests were putting an increasing strain on the IT administrators that support the department’s Exchange email environment. Because they didn’t have an email archiving solution in place, the Sheriff’s Department was performing all of its’ email discovery manually and a typical request could take as much as 100 man hours to complete as researchers would comb through emails, line by line searching for specific words, phrases, or content to meet the discovery request. In an effort to streamline productivity, the Orange County Department began to evaluate email archiving solutions that would solve the eDiscovery needs of its Exchange mailbox environment.
“We were using an Outlook search tool that could find emails based on a phrase or word, but looking through our server data as well as searching through each employee’s local PST file, custodian by custodian, was taking an exorbitant amount of time,” said Doug Blackburn, systems programmer analyst, Orange County Sheriff-Coroner Department. “After finding and implementing the comprehensive email archiving solution from Mimosa, now the eDiscovery search process is reduced substantially. The system looks through multiple accounts at the same time and flags items of interest – all with less manpower.”
As a result of its new email archiving solution, the Orange County Sheriff-Coroner Department reduced its eDiscovery response time by 70 percent. Also important, was the ability for Mimosa NearPoint to meet its eDiscovery needs without adding any impact to the performance of its Exchange server. Because NearPoint doesn’t put any load on the Exchange server its overall email environment is much healthier.
Key Mimosa NearPoint features of value to the Orange County Sheriff-Coroner Department include:
- Next-generation architecture: Mimosa NearPoint's unique architecture does not require journaling or any agents on either the Exchange Server or user desktops. This ensures that there is no impact on the Sheriff Department’s production Exchange Server’s performance.
- Efficient eDiscovery: Mimosa NearPoint has several features that expedite the eDiscovery process by leveraging complete content capture. These features include individual item-level legal holds, conversation and proximity analysis, and an intuitive search within a search—while demonstrating chain of custody as archived content moves through the eDiscovery workflow.
- Continuous capture and smart extraction of exchange data: When an eDiscovery or disclosure request is made, Mimosa NearPoint quickly identifies relevant content, including all metadata, emails, folders, deletions, calendars, contacts, notes, and tasks.
“With the volume of discovery requests that are often part of every day operations for law enforcement agencies such as the Orange County Sheriff-Coroner Department, Mimosa NearPoint delivers the automation, reliability and ease of operation that can make IT teams exponentially more productive,” said T.M. Ravi, CEO, Mimosa Systems. “Mimosa NearPoint delivers a unified solution for email retention, protection, search and recovery that has today become a necessary component for public agencies and corporations alike.”

Provident Capital Leverages Mimosa Systems’ Next-Generation Archiving Solution to Reduce Storage Requirements by 70 Percent
SANTA CLARA, Calif. – Mimosa Systems, the leader in next-generation email, file and, SharePoint archiving solutions, today announced that Provident Capital, one of Australia’s leading investment groups, has delivered a powerful integrated archive for simplified content management, storage consolidation and self-service search in a single, unified offering.
Provident Capital is one of Australia's leading diversified finance and investment funds management groups, creating and managing high quality fixed interest investments and innovative mortgage lending. Provident has deep domain expertise in identifying the need for alternative methods of investment and finance and delivering innovative financial solutions.
After evaluating several archiving solutions including Symantec, Sunbelt and GFI, Provident selected Mimosa NearPointTM because of its next-generation architecture, storage management, and self-service search capabilities. Since deploying NearPoint ten months ago, Provident has reduced storage requirements by 70 percent, boosted Exchange performance, and cut email-related help desk calls by 90 percent – freeing the IT staff to focus on the strategic needs of the business. In addition, the company has transformed its email system without incurring the expense and hassle of upgrading to a larger Exchange Server, or having to add additional hardware.
“Our results with NearPoint have been fantastic,” said Nick Corrie, Head of IT for Provident Capital. “Nearly all of our problems with PST files -- corruption, loss, and general headaches – have been eliminated, without any negative impact on Exchange, and without forcing us to upgrade our system.”
“NearPoint has been a perfect solution for us in so many ways,” added Corrie. “It has enabled us to solve our email management problems cost-effectively with an integrated, out-of-the-box archiving solution that only Mimosa could deliver.”
The Mimosa NearPoint archiving solution has delivered value to Provident Capital in the following ways including:
• Next-generation architecture: Mimosa NearPoint's unique architecture does not require journaling or any agents on either the Exchange Server or user desktops. This ensures that there is no impact on production Exchange Server performance.
• Storage management and PST archiving: Using NearPoint, administrators define policies that allow mailboxes on Exchange Servers to be extended to the NearPoint server using parameters such as message size, age, and mailbox quota. For managing offline email contained in PST files, the NearPoint PST Archiving Option crawls and uploads PST files to the NearPoint archive, where they are centrally managed and searched for email discovery. PST files can be automatically deleted after they are uploaded to the archive or remain as files managed by NearPoint.
• Self-service search of archived data: Provident employees have seamless self-service access to their archived data, enabling them to find potentially lost or deleted messages and files without IT assistance.
• Turnkey deployment and support services – Mimosa NearPoint’s ease of implementation and expert support services had Provident up and running the same day.
“The beauty of Mimosa NearPoint is that it’s an intuitive, easy-to-install and easy-to-maintain integrated archiving solution that allows organizations to set it up and virtually forget about it afterwards,” said Scott Whitney, vice president product management of Mimosa Systems. “Provident Capital’s success with NearPoint is a text-book example of how well our technology performs in the real world.”

Lagan Selects Mimosa NearPoint For Faster, Easier SharePoint Archiving And Recovery
Lagan chose Mimosa NearPointTM for SharePoint because it offers the fastest backup, archiving and recovery capabilities on the market. In addition, because Mimosa NearPoint for SharePoint also works seamlessly with Mimosa NearPoint for Exchange which Lagan had already deployed, the company can use a single, unified platform for the archiving and recovery of any document held anywhere within the organisation.
Jim Fennell, Information System Manager at Lagan, explains the problem his organization was facing: “Most of Lagans’ business is project-driven and the company had standardized on SharePoint. At any point we might have 60 SharePoint sites in operation holding thousands of documents, from project contracts and drawings to new business tenders and proposals. The consequences of losing even one document, let alone an entire SharePoint site, could be catastrophic to a project. A fast and efficient backup, archiving and recovery strategy was essential.”
However, Lagan’s SharePoint backups had become incredibly inefficient and slow. Weekly backups were taking over 24 hours while recovering a single lost or deleted document, because it required the entire SharePoint server to be recovered which could take a full working day.
Mimosa NearPoint’s features, including single-instancing and stubbing of files, will help Lagan eliminate the unnecessary backup of duplicate files across an organisation. It also offers users a fine-grain recovery feature to quickly recover individual files without requiring a full server restore. He concludes: “With NearPoint we’re expecting our backup windows to shrink while recovering a single lost or deleted file will take a couple of clicks and a matter of seconds.”
Lagans will also be able to set policies that automatically take documents that have not been touched for 30 days out of SharePoint and moved, into NearPoint. This document is then stubbed in SharePoint, but held in NearPoint, in a way that is seamlessly accessible to the user. Because NearPoint can apply this feature to both Exchange and SharePoint across both platforms, it drives further storage efficiencies and also helps minimise backup and recovery times, even though data is actually growing.

Chichester School District Prepares For eDiscovery With Mimosa Next-Generation Content Archive
Santa Clara, Calif. – Mimosa Systems, the leader in next-generation email, file and SharePoint archiving solutions, today announced that the Mimosa NearPointTM next-generation content archiving solution has been selected by Chichester School District to help them prepare for eDiscovery while supporting their email management, disaster recovery and record retention requirements.
With 4,000 K-12 students supported by a staff of 700, the Chichester School District in Boothwyn, Pa. has a mission to educate students by wisely managing finite resources. To support their mission and beliefs, Chichester School District places high important on the efficiency of its IT infrastructure. Designed to support email, financial applications, student management applications, and a parent portal website based on Microsoft SharePoint, Chichester’s IT infrastructure is the core of its educational operations.
To run its infrastructure, the school district has 40 servers, a HP Procurve backbone and a NetApp StoreVault SAN designed to support its data backup applications. Yet, the district still found that it needed a more comprehensive solution to better safeguard its email content while enabling simplified eDiscovery in support of new regulations for the U.S. Department of State Freedom of Information Act (FOIA).
“We found that eDiscovery requests could bury our IT staff for up to two weeks,” said Tim McGrath, senior network administrator, Chichester School District. “We had to restore old Exchange backups from tape in order to search for requested information. The process was like finding a needle in a haystack–with no guarantee we would find what was needed.”
Chichester’s Exchange archiving needs went beyond eDiscovery. The school district was experiencing 35 percent growth rate per year in email volume. To deal with the increasing data volume Chichester instituted Exchange mailbox quotas making it difficult for users to retain the data they wanted to keep.
“We needed an archiving solution that would not only simplify our eDiscovery process,” added Tim McGrath, “we also needed to free our users from mailbox limit constraints and reduce our overall storage needs. Mimosa NearPoint was the only solution we evaluated that could deliver it all in one comprehensive solution without impacting the performance of our Exchange server. Plus, it integrated seamlessly with our NetApp storage solution.”
After evaluating Symantec, CommVault and Proofpoint, Chichester School District selected Mimosa NearPoint because it offered the following:
• Next-Generation Architecture: Mimosa NearPoint's unique architecture does not require journaling or any agents on either the Exchange Server or user desktops. This will simplify Chichester School District’s deployment and ensures that there is no impact on production Exchange Server performance.
• Efficient and Comprehensive eDiscovery: Mimosa NearPoint offers several features to expedite Chichester’s eDiscovery process by leveraging complete content capture including individual item-level legal holds, conversation and proximity analysis, and an intuitive search within a search—while demonstrating chain of custody as archived content moves through the workflow.
• Mailbox storage management: With NearPoint, Chichester has reduced storage requirements on its Exchange Server by nearly half by migrating or extending attachments based on policies of age, document size, or mailbox size.
• Automated, Application Intelligent Disaster Recovery: NearPoint reliably protects Chichester’s Exchange information through non-invasive, continuous application shadowing. This preserves the consistency and integrity of Exchange data, and enables "one-click" full email data and service recovery when needed.
• Turnkey Deployment and Support Services – Mimosa NearPoint’s ease of implementation and expert support services had the Chichester School District up and running within two days and with just two phone calls.
“By delivering all of the archiving, eDiscovery, disaster recovery and storage management capabilities Chichester needs in a single solution, NearPoint helps to support their mission to wisely manage finite resources,” said Scott Whitney, vice president, product management, Mimosa Systems. “We are pleased to enable resource-constrained public school districts like Chichester better protect, manage and recover their critical content with Mimosa’s integrated archiving solution.”

Mimosa Systems Expands proactive eDiscovery Capabilities With Industry’s Most Comprehensive Enterprise Archiving Solution
Santa Clara, Calif. – June 30, 2009 – Mimosa Systems, the leader in next-generation email, file and SharePoint archiving solutions, today announced Mimosa NearPoint™ 4.0, the fourth major version of its comprehensive solution for archiving, eDiscovery and business user productivity. Including new capabilities for expedited eDiscovery in very large enterprise deployments and support for multiple data capture methods, NearPoint 4.0 also offers significant new functionality for today’s information worker that unifies information from all content types into a powerful personal productivity and business decision platform powered by an intelligent archive.
“An organization’s information archive is the living, breathing record of its business,” said Laura DuBois, IDC. “If properly implemented and managed with the right solutions and processes, the enterprise archive can become the pivotal business productivity and decision platform for optimizing a business’ intellectual capital for informed business analytics. Customers should definitely evaluate Mimosa NearPoint 4.0 which delivers significant new capabilities for eDiscovery and enterprise business productivity– all key components of tomorrow’s intelligent enterprise archiving platform.”
Expedited Electronic DiscoveryMimosa NearPoint 4.0 decreases the time to identify, collect and preserve electronically stored information with advanced case management and workflow tools that leverages attorney work products between cases. As a result, Legal and Compliance teams can work together efficiently to assess the case, determine legal strategies, place item-level litigation holds, and complete pre-reviews or internal audits quickly.
“The downturn in the economy has increased litigation, particularly around employment and shareholder issues. Companies are well advised to consider a proactive plan for dealing with litigation before it ensues. Business should strive to avoid liability where possible and mitigate costs when litigation is necessary. Because of the amorphous nature of Electronically Stored Information (ESI), eDiscovery often drives litigation costs. Compliance with eDiscovery requirements very often means ensuring complete ESI data capture to a searchable ESI archive,” said William Savarino, Partner in the Washington DC Law Firm of Cohen Mohr LLP. “Bringing the eDiscovery process in-house through the use of case management and delegated administration tools like those offered by Mimosa NearPoint eDiscovery allows corporate legal departments to save cost and time.”
Key eDiscovery features of NearPoint 4.0 include:
- Unified eDiscovery across email, file system, and SharePoint content.
- Workflow tools to organize and share complex search queries, review list, legal holds and tags across cases or teams.
- Delegate sensitive workloads such as search and pre-review from IT to legal teams.
- Search automation and federation across geographies and domains with granular permissions.
- Scheduled searches to automatically populate a case with new content received into the archive.
“We need to continue to expedite our eDiscovery practices while ensuring complete content capture to our archive,” said Michael Lawrence, CISO & Senior Network Administrator, City of Lenexa. “Mimosa NearPoint supports our need to perform individual item-level legal holds and conversation and proximity analysis. NearPoint’s case management and delegated administration will allow users to run their own searches and escalate sensitive content to Legal for review. We have been a long time Mimosa user and the product continues to be on the cutting-edge. It’s the most powerful solution we have found for archiving and enterprise eDiscovery.”
Advanced Information Access for Today’s Enterprise Information WorkerTo take the value of archived data a step further, Mimosa NearPoint 4.0 adds unified and offline information access to email and file system content allowing information workers to search or browse their archives, find their relevant content, and get on with the task at hand. New NearPoint 4.0 Information
Access features include:
- Unified access to email and file system content that is presented in a familiar Outlook, Outlook - Web Access (OWA) or browser user interface.
- Advanced offline access to archived content through a secure cache.
- Windows Desktop Search (WDS) integration presents active and archived content in a single view.
- Highlighting of query terms in the search results.
Multiple Capture MethodsMimosa NearPoint 4.0 now provides a generalized framework for multiple capture methods from a variety of data sources. The framework is designed to support server, device and network methods for capture of on-premise and hosted email. In addition to its unique Continuous Application Shadowing™ based on Microsoft’s Extensible Storage Engine (ESE), Mimosa NearPoint 4.0 adds a broad set of additional capture methods for Microsoft Exchange. Designed to support a wide range of customer configurations, NearPoint 4.0 enables the richness and flexibility of multiple capture mechanisms so organizations can best leverage their infrastructure.
NearPoint 4.0’s new multiple capture methods include:
- Volume Shadow Copy Service (VSS) based Continuous Application Shadowing™ which speeds the log application process by an order of magnitude.
- Messaging Application Programming Interface (MAPI) option combined with Exchange
Journaling. Customers can choose this configuration as an alternative to Continuous Application Shadowing™. Exchange 2007 Cluster Continuous Replication (CCR) passive node capture which enables organizations to use third-party software for shadowless archives.
- Extensible framework to add new capture methods in the future using device snapshots, backup copies, Exchange Web Services (EWS) or Simple Mail Transfer Protocol (SMTP).
- Extended Features for the Large Enterprise
Mimosa NearPoint 4.0 features a host of new features developed for large enterprise deployments that significantly reduce overall storage requirements including compression, delta storage for distribution list changes, compaction of message headers, and enhanced support for de-duplication devices such as those from Data Domain. NearPoint 4.0 is also certified for use with VMware and Hyper-V for integration into virtual datacenter infrastructures.
For large organizations that want to migrate away from legacy archive products into a next-generation archive, or integrate upstream eDiscovery or records management applications with a enterprise archive, NearPoint 4.0 also features an enhanced software development toolkit (SDK) as part of the Open Mimosa Developer Program. Vendors such as Procedo and TransVault have partnered with Mimosa to build migration tools to accelerate migrations from first generation archives. Other eDiscovery and records management vendors including Oracle, PSS, and Kazeon are leveraging the SDK to apply record management policies and legal holds in place, without the need to move or copy the original content.
